All guests are required to complete this form 48 hours prior to their scheduled arrival date. We request one form per reservation and to be completed by the registered guest.

Once we have received this completed form, we will email our door code and map if your vacation rental has an electronic lock.
Some of our vacation rentals do require a physical key to gain entry. If your vacation rental requires a key, we will email you the lock box combo and map. The lock box will be located at the Beaver Village Clubhouse, 50 Village Drive, Winter Park CO 80482.
Please note that we do need time to process your registration information, if you have registered for a same day arrival after 12 noon, please contact us at 970-726-6200 or email us at firstname.lastname@example.org to confirm your registration was received and your vacation rental is ready for check in.
Stay Winter Park will be unable to offer any type of refund or discount to a guest that has not completed this form and arrives to state they were unable to access the rental.
IF you have booked your stay via a 3rd party (VRBO, Air BNB, Booking.com or Expedia), please note that there is information we need to collect that these 3rd parties do not share will us. Contact us if you have questions at email@example.com – this is the best means of communication – do not rely on these 3rd parties’ apps.
Please note: Due to COVID-19 rules and regulations, we will need the following:
All reservations booked are limited to a maximum of 10 persons from no more than two households to occupy a vacation rental.
We will need to have the names of all persons traveling and staying in the vacation rental.
We request a copy of your current driver’s license to be on file for 30 days.
Winter Park Ski Resort - please make sure to understand the rules for the Reservation System for lift tickets.
If upon arrival your accommodations are not as specified in your confirmation or unsuitable, please notify the GUEST SERVICES immediately at 970-726-6200. Stay Winter Park will not be held responsible, liable or grant a refund for problems reported at the time of check out or after departure.
Every reasonable effort will be made to accommodate a guest’s special request for bedding configuration, floor, view or specific unit numbers; however, circumstances beyond Stay Winter Park’s control can occur. Under no circumstances will guarantees be made regarding special requests. Stay Winter Park reserves the right to change units within like accommodations up to and including the day of arrival should it be deemed necessary due to unforeseen circumstances.
Guests are responsible for breakage, missing items, any damage caused to the unit or items herein, and in situations where excessive cleans are necessary. Stay Winter Park will bill accordingly for these instances. Stay Winter Park will not be responsible or liable for any accidents, injury, and loss of money, jewelry or valuables during guest’s tenancy. Report any noticeable issues to us upon arrival.
Clubhouse amenities: Due to COVID and other regulations set in place by the local health department, not all facilities at properties may be available for guest use or they may require reservations. Please refer to your specific vacation rental information. If you are unsure, please contact our Guest Service Team at 970-726-6200. All clubhouse amenities are provided to guest complimentary and therefore there will be NO refunds when these facilities are closed or unavailable during a guest's stay.
Check in time starts at 4pm. All electronic locks are time sensitive and will not be activated until 4pm. Any rentals that require a physical key entry, will be cleaned and ready for occupancy at 4pm. If you arrive prior to 4pm, you may contact us to see if an early check in is available and there may be additional fees for early check in.
Check out is at 10am. All electronic locks are time sensitive and will lock the rental starting at 10am. Checking out after 10:00 am will result in an additional charge unless guests have contacted Guest Services check the availability of a late check out and to pay the additional fee.
When departing a keyless entry lock enter 123456 checkmark (or * for some locks) to validate your departure. We have a key drop box at the office for guests to return keys after departure from the vacation rental.
All of our vacation rentals are Non-smoking. A service charge of $500.00 will be imposed if any occupant in this unit uses any type of tobacco, marijuana, incense or other smoking materials.
Some units require a parking pass, a pass for using pools and/or hot tubs, ski locker keys, and garage door remotes. These items will be available inside your vacation rental for arrival if you are checking into a unit with a keyless entry lock. Otherwise these will be provided to you with your keys in the late check in packet at the Beaver Village Condo front desk. Lost passes are charged at $75.00, lost garage remotes are charged at $100.00, lost ski locker key $25.00. Return these items to the requested location in your vacation rental for a keyless entry unit prior to departure to avoid additional charges or to the front desk at Beaver Village Condos.
Unless otherwise stated, all of our vacation rentals have a No pet policy. A service charge of $500.00 will be imposed if there is a report of a pet in the unit or on the premise; this charge will also be assessed after guest departure if housekeeping finds evidence of a pet in the unit.
